General Terms and Conditions and Exhibition Regulations
The signing of the Application Form also means the acceptance of these General Terms and Conditions and the Exhibition Regulations.
I. General Terms and Conditions
1. Conclusion of the Treaty
1.1. Contracting parties
For the purposes of these General Terms and Conditions, Carp Hungary Kft. (Registered office: 1183 Budapest, Besztercebánya utca 29 .; company registration number: Cg. 01-09-949484; hereinafter: “Carp Hungary”) and Hungexpo (hereinafter referred to as the “Exhibition”) is the partner who completes and duly signs the application form (hereinafter referred to as the “Application Form”) (hereinafter referred to as the “Contracting Party”).
1.2. Invitation to tender
For the purpose of concluding the contract (hereinafter: the “Contract”), Carp Hungary is invited to send the following documents to the Contracting Party: Application Form, General Terms and Conditions and Exhibition Regulations (hereinafter: the “Terms and Conditions”).
1.3. Conclusion of the Treaty
The Application Form is duly sent by the Contracting Party in 2 originals by post or otherwise (in person) to Carp Hungary.
By signing the Application Form, the Contracting Party declares that it has read and accepted these Terms and Conditions, which form an integral part of the Contract. The Contract is concluded between the Parties (hereinafter: the “Contract Created”) when a copy of the Application Form is returned by Carp Hungary Kft. To the Contracting Party signed.
1.4. The First Down Payment Applicant
Upon receipt of the Application Form, Carp Hungary will send the first advance payment request to the Contracting Party (hereinafter: the “First Down Payment Request”), which shall include the amount specified in Section 5.1 below. If the full amount of the First Advance Request is not credited to Carp Hungary’s account within the deadline indicated in the relevant invoice, Carp Hungary is entitled to withdraw from the Contract and demand a penalty in accordance with clause 7.2 below.
1.5. Area designation
Carp Hungary shall decide on the designation of the Exhibition Area (hereinafter: the “Exhibition Area”) without the obligation to state reasons upon receipt of the amount specified in Section 1.4, and shall send this decision to the Contracting Party in writing together with the site plan designating the Exhibition Area.
1.6. The General Rules of Operation and Operation
The Contracting Party is obliged to get acquainted with and comply with the General Terms and Conditions of Hungexpo in force at any time (hereinafter: the “GTC”), which forms part of the Contract. The GTC can be downloaded from the Hungexpo website (www.hungexpo.hu), but upon request Hungexpo will send it to the Contracting Party by post.
2. THE CONTRACTING PARTIES
2.1. Contractor
Contracting Party is the natural or legal person or unincorporated company that completes and duly signs the Application Form for the Exhibition. Only the Contracting Party may be the addressee and obligor of the invoices issued by Carp Hungary (eg: space fee, services).
2.2. The Exhibitor
The Exhibitor is present at the Exhibition with its own area or part of the area (hereinafter: the “Exhibition Area”).
3. Taking possession and changing the Exhibition Area
3.1. Occupation
The Exhibition Area can only be taken over after the full amount of the Venue Fee, Registration Fee, any Service Fee advance (s) has been paid, and construction work can begin thereafter.
3.2. Change
The Exhibition Area designated by Carp Hungary may not be exchanged arbitrarily with another exhibitor, may not be increased by agreement with another exhibitor, may not be transferred free of charge or for a fee, and may be changed in any way only with the prior written consent of Carp Hungary.
4. Products, product groups, services
The Contracting Party is only entitled to present the products, product groups and services indicated in the Application Form and accepted by Carp Hungary, as well as to advertise the Company indicated in the Application Form.
If the exhibitor does not remove the non-manufactured, distributed (imported) brand (s) or service or the advertising medium presenting the Contracting Party or Represented Company from the Exhibition Area after the first request, Carp Hungary will remove the said Exhibition Area from the Exhibition Area. It may close at the expense and risk of a Contracting Party or bring an action for damages against it.
5. Terms of payment, taking possession
5.1. Payment obligations of the Contracting Party
The Contracting Party shall pay a Registration Fee for participation in the Exhibition (hereinafter referred to as the “Registration Fee”), a space fee for the Exhibited Exhibition Area (hereinafter: the “Space Fee”), and a service fee for the services used (hereinafter: the “Service Fee”). owed to pay.
5.2. The amount of the Registration Fee
The Exhibitor (see point 2.1), pays 100% of the registration fee. The amount of the Registration Fee for the exhibitor will be published on the Application Form.
5.3. The rate of the Place Fee
The amount of the Venue Fee is determined on the basis of the floor area of the Exhibition Area. The Place Fee does not include the cost of building the stand.
5.4. Service Fee
The service fee to be paid will be aggregated and invoiced in accordance with the service fee indicated on the service order forms valid at any time.
5.5. Payment Terms
The 5.1. The fees referred to in point 1 shall be paid in accordance with the payment terms set out in the relevant invoice or advance payment request. Payment schedule: First Advance Applicant: according to 5.1. 50% of the registration fee and place fee according to point. Second Advance Applicant: 5.1. 50% of the registration fee and place fee according to point.
For services ordered before the first day of construction of the exhibition, a 100% Advance Request must be issued, which the Contracting Party is obliged to pay before the start of construction. During the construction period of the exhibition, we will also issue a Prepayment Request for the services ordered on site. We can only provide these services to the Contracting Party if you pay your consideration locally.
Final Invoice: the full Place Fee, Registration Fee, and ordered Service Fees. The Contracting Party is obliged to pay the Registration Fee, the Place Fee and the ordered Service Fee in full by the date specified in the advance payment request or invoice.
5.6. Late Payment
In the event of a delay in any payment obligation based on this Agreement, Carp Hungary will charge a default interest of 20% per annum. The Exhibitor acknowledges that Carp Hungary may assign its claim against it to a factoring company.
5.7. Financial Institution Costs
Any costs charged by financial institutions in the course of banking operations shall be borne by the Contracting Party, which may not reduce Carp Hungary’s claims.
5.8. VAT
All the services provided by Carp Hungary are considered to be complex services, therefore they are subject to VAT at the rate specified in the Act on Value Added Tax in force at any time.
6. The Noise Protection
6.1. Music and Broadcasting
The Contracting Party is obliged to comply with the provisions of the current GTC during the provision of music and broadcasting, and to obtain the consent of the Organizer and the neighboring Exhibitors prior to this activity.
6.2. Prohibition on the use of unmanned aerial vehicles and drones
The use, import or flight of unmanned aerial vehicles and drones is strictly prohibited in the entire territory of HUNGEXPO, but especially in the Exhibition Area. The Contracting Party acknowledges that in the event of a breach of the obligation under this clause, the authorized security personnel are entitled to ensure the immediate removal of unmanned aerial vehicles and drones from the HUNGEXPO area. The Contracting Party shall have sole and unlimited liability for any pecuniary and non-pecuniary damage resulting from a breach of its obligation under this clause, including in particular damage caused to third parties and / or HUNGEXPO, as well as any unmanned air service. the payment of a fine imposed for the use of vehicles and drones, as well as the possible damage to the device during the action of Carp Hungary due to the breach of the obligation under this clause.
6.3. Prohibition
If the Contracting Party exceeds the volume specified in the GTC and, despite the joint request of the organizer and the Director of the Exhibition, does not terminate the music or broadcasting activity exceeding the above level, or violates the GTC I.4.6. Carp Hungary terminates the energy supply at the stand of the Contracting Party and therefore does not owe any compensation to the Contracting Party.
7. Cancellation and Consequences
7.1. Cancellation of participation
After the Establishment of the Contract, the Contracting Party may validly cancel the Exhibition participation only in writing, sent to Carp Hungary in a verifiable manner (hereinafter: “Cancellation”). The Cancellation is effective from the date the waiver notice is received by Carp Hungary. A cancellation is also considered if the Contracting Party or the exhibitor organized by it does not occupy its Exhibition Area at the Exhibition 24 hours before the opening of the Exhibition and does not indicate its subsequent arrival in writing confirmed by Carp Hungary (hereinafter: “Absence”). In the event of cancellation, Carp Hungary is entitled to lease the Exhibition Area designated for the Contracting Party to another person, therefore Carp Hungary is not liable for any damages. In the event of cancellation, the Contractor shall be liable to pay a Failure Penalty, as set out below.
7.2. Failure Penalty
If the Contracting Party cancels the participation of HUF 300,000 after the conclusion of the Contract but before the 61st day before the opening of the Exhibition, if it terminates between the 60th and the 31st day70% of the fee specified in clause 6.1 and 100% of the fee specified in clause 5.1 shall be paid to Carp Hungary within 30 days.
7.3. Termination of territory
If the Contracting Party cancels the use of 20% or more of the area requested by it, 61 days before the opening of the Exhibition, it is obliged to pay an area cancellation penalty (hereinafter: the “Area Cancellation Penalty”). The amount of the Area Cancellation Penalty is proportional to the size of the canceled area as follows: 70% of the Place Fee for the canceled area between the 60th and 31st day before the Exhibition, and 100% from the 30th day.
7.4. Cancellation of ordered services and legal consequences
The Contracting Party may validly cancel the pre-ordered services only in writing, sent to Carp Hungary in a verifiable manner. The Cancellation is effective from the date the waiver notice is received by Carp Hungary.
In the event of cancellation, the Contracting Party shall be liable to pay, as follows:
– if the Contracting Party cancels the order for the service 7 days before the start of the official construction period of the Exhibition, the service does not have to be paid for.
– if the cancellation is received 7 days before the start of the official construction period of the Exhibition, 100% of the fee for the ordered service must be paid to Carp Hungary.
7.5. Failure to meet the conditions of a claimed discount
If the Contracting Party uses the discounts specified in the contract (10%, 5%) and does not fulfill their conditions or only partially fulfills them, the amount of the used discount will be calculated from the first day of the PontyShow (November 17, 2023), the Civil Code. must be paid to Carp Hungary together with late interest.
8. Complaints
The Contracting Party shall be responsible for the organization, construction, operation, etc. of the Exhibition. In order to be verifiable, you must notify Carp Hungary in writing of your complaints regarding the exhibition until the closing of the operation of the Exhibition, and your comments on invoicing by the expiration of the invoice payment deadline. Complaints received after the given deadlines cannot be taken into account by Carp Hungary. If the Contracting Party does not dispute the Venue Invoice within 15 days of its receipt and the Invoice for the Services until the closing of the Exhibition, the invoice shall be deemed accepted.
9. Counterfeiting
By signing the application form, the exhibitor declares and warrants that he is the owner of the intellectual property right to the product presented at the exhibition or has obtained all permits and authorizations from its holder to present the product. The exhibitor undertakes to respect the intellectual property rights of third parties.
It is forbidden to present a product at the Exhibition that infringes the intellectual property rights of others, is fake.
If the Exhibitor becomes aware / infringes that an intellectual property right is being infringed, the Exhibitor undertakes / will make every effort to terminate the infringement as soon as possible and to remove the infringing products.
The exhibitor must ensure that the protection he has acquired for the product he exhibits is duly substantiated during the exhibition.
Carp Hungary excludes its responsibility for counterfeit products displayed at the exhibition, but at the same time is ready to provide information on the actions required for legal enforcement.
10. Vis Maior
Carp Hungary is entitled to cancel the Exhibition, in whole or in part, or to change the place of its date or opening hours if a force majeure event occurs. Force majeure is any unforeseeable unavoidable event, the occurrence of which is not attributable to Carp Hungary and is otherwise independent of Carp Hungary’s intention and / or procedure (eg: war, riot, civil uprising, general strike, epidemic, pandemic, natural disaster, fire, flood, earthquake or other unavoidable external cause, emergency) and which significantly impedes or makes it impossible to hold the Exhibition. Carp Hungary is obliged to inform the Contracting Parties about the occurrence of the force majeure event. If the Exhibition is canceled in part or in full due to force majeure, Carp Hungary is not obliged to pay compensation.
11. Governing Law – Settlement of Disputes
Matters not specifically regulated in this Agreement shall be governed by the rules of Hungarian law.
The Parties shall endeavor to settle any disputes amicably. If this endeavor still fails, the courts with jurisdiction and jurisdiction will act.
12. Unity of the Contract
The provisions of the GTC and the Application Form form an integral part of the Contract.
13. Carp Hungary is entitled to unilaterally amend these Terms and Conditions. Carp Hungary shall notify the Contracting Party of the amendment of the Terms and Conditions in writing 15 days in advance. If the Contracting Party does not make a statement within the period specified in the notification, the amendment shall be deemed to have been accepted by that Contracting Party.
II. Exhibition Regulations
1. Order of the exhibition:
Smoking and the use of open flames are prohibited throughout the exhibition. This is possible in designated areas on the outskirts.
During the opening hours of the exhibition, all loud and disturbing activities (eg music, smoke machine) and disruptive behavior are not allowed!
Carpeting of stand areas is optional. Amenn
If the exhibitor still uses his own carpet, he may only fasten it with a fabric carpet adhesive.
The goods must be placed on the stands in such a way that they do not damage the equipment of the stands and the building or the interests of the adjacent stands.
The full width of the passageways must be left clear. It is forbidden to unload or hang sticks, chairs, flags, other goods and decorative objects there!
An exhibitor may employ hostesses outside his stand only for a fee. A fee of HUF 15,000 + VAT / day must be paid to Carp Hungary for hostesses moving on busy roads.
It is forbidden to drill, nail or glue the walls of the exhibition hall!
It is forbidden to bring live animals into the exhibition area!
The exhibitor is obliged to pay for the damages caused by the exhibitor on the equipment of the building on the spot.
It is forbidden to disconnect the electrical network of the exhibition or to connect to it without permission!
The participants of the exhibition are obliged to observe the general fire protection, work safety, electrical safety technical rules, as well as the order of the event and, if necessary, to observe them. Otherwise, the organizers of the exhibition or their agents are entitled to take action.
2. Exhibitor ticket
Access is only possible with a barcode armband.
The barcode wristband that entitles you to access must be validated at the scanner with security people every time you log in and out. It is not possible for an exhibitor to enter or stay in the exhibition area at the indicated time without an armband (original glued, undamaged)!
In addition to the number of Exhibitor wristbands specified in the contract, it is possible to request additional tickets for a fee as follows: HUF 9.000 / 3 days, HUF 3.500 / 1 day.
The rules for “plus exhibitor tickets” and exhibitor tickets are the same at all times and in all respects.
3. Duration of the exhibition
For visitors:

For exhibitors:
Friday, November 17, 2023 from 07:30 to 19:00
Saturday, November 18, 2023 from 07:30 to 19:00
Sunday, November 19, 2023 from 07:30 to 24:00
Construction days:
Wednesday, November 15, 2023 from 08:00 to 20:00
Thursday, November 16, 2023 from 08:00 to 22:00
Exhibitors can build, arrange and load their exhibition and sales booths within the time interval specified for the construction days.
Demolition day:
Sunday, November 19, 2023 from 17:00 to 24:00
Monday, November 20, 2023 from 08:00 to 12:00
In addition to the dates given above, exhibitors may not be present at the event.
4. Property protection
At HUNGEXPO, the object is guarded by security guards on a 24-hour basis. They protect the building from any unauthorized external intrusion.
The exhibitor is responsible for the property protection of the products exhibited at the stands during the visit!
The night guarding of the hall is provided by Walton Security Kft.
5. Cleaning
General cleaning before opening is provided by Carp Hungary. This also applies to the daily cleaning of the entire hall, the corridors, and the water blocks.
Garbage generated at the stands must be properly collected and placed in the external waste bin! It is the exhibitor’s responsibility to remove the larger amount of rubbish generated at the exhibition stands. The daily cleaning of the stands is the responsibility of the exhibiting company.
For a separate fee, Carp Hungary can provide the following:
Daily Stand Cleaning (vacuuming, emptying trash): 400 HUF + VAT / m2.
Daily General cleaning (vacuuming, dusting, wiping, emptying of rubbish): 600 HUF + VAT / m2.
These services can be ordered from Carp Hungary.
